1. Who we are
CALI CULTURE is a calisthenics coaching brand operated by Mehdi Khalifa. For UK data-protection purposes, CALI CULTURE is the controller of the personal information described in this policy.
For privacy questions or requests, email applications@caliculture.co.uk.
2. Information we collect
Coaching applications
When you apply for coaching, we collect the information you enter in the application form, including:
- your name, email address and phone number;
- your age and training experience;
- your goals, obstacles, level of commitment, preferred start date and investment-readiness answer; and
- technical context associated with the submission, such as the page from which it was sent and, where available, a HubSpot tracking identifier.
Calisthenics level assessment
When you use the free assessment, we process the answers you select, your calculated level and roadmap, and limited technical information needed to provide the result. If you ask us to email the roadmap, we also collect your first name and email address.
Receiving the requested roadmap does not automatically subscribe you to marketing. We record you as a marketing subscriber only when you separately tick the optional email-consent box.
Consultation deposits
If you reserve a consultation, Stripe processes the £20 refundable deposit and provides us with payment status, transaction identifiers and limited customer details. CALI CULTURE does not receive or store your full card number.
Messages and correspondence
If you contact us or use the website chat, we may process the information you provide, the content of your messages and related technical information needed to operate the service.
Technical information
Our hosting and service providers may process limited technical information such as your IP address, browser or device type, request time and diagnostic or security logs when you access the website.
3. How we use your information
We use personal information to:
- receive, assess and respond to coaching applications;
- decide whether CALI CULTURE coaching may be suitable for you;
- send an application confirmation and communicate about next steps;
- calculate your assessment result and send a roadmap you specifically request;
- send calisthenics lessons, training advice and occasional coaching information when you have separately consented to those emails;
- take, verify, administer and refund consultation deposits;
- respond to questions and provide customer support;
- operate, secure, troubleshoot and improve the website and application process;
- maintain appropriate business records; and
- comply with legal obligations and protect our legal rights.
We do not sell your personal information.
4. Our lawful bases
Under UK data-protection law, we rely on:
- steps at your request before entering a contract, when we assess and respond to your coaching application;
- legitimate interests, to communicate with you, operate and secure our services, prevent misuse and improve our processes, where those interests are not overridden by your rights;
- legal obligations, where we must retain or disclose information to comply with the law; and
- consent, for optional advertising measurement and ongoing marketing emails. You may withdraw consent at any time, without affecting earlier lawful processing.
5. Service providers and disclosures
We use carefully selected providers to operate the website and application journey. They process information on our behalf or under their own applicable responsibilities:
- HubSpot — receives and stores coaching applications and separately records assessment users who actively consent to marketing emails;
- Resend — sends transactional application-confirmation and requested-roadmap emails;
- Stripe — securely processes consultation deposits, payment verification and refunds;
- Vercel — hosts and delivers the website and server-side functions;
- Meta — provides consent-controlled advertising measurement through the Meta Pixel and Conversions API;
- Voiceflow — provides the website chat experience;
- Google Fonts and Tailwind CSS CDN — deliver website fonts and styling resources; and
- professional advisers, regulators, courts, law-enforcement bodies or another party where disclosure is required by law or reasonably necessary to protect rights, safety or the business.
If we add further advertising, analytics or communication services in future, we will update this policy and introduce any consent controls required by law before using them.
6. International transfers
Some providers may process information outside the United Kingdom. Where UK data-protection law requires safeguards, we expect the relevant provider to use an approved transfer mechanism, such as UK adequacy regulations or contractual protections. You may contact us for more information about safeguards relevant to your information.
7. How long we keep information
We keep unsuccessful or incomplete coaching-application information for up to 24 months after the last meaningful contact, unless a shorter period is appropriate or a longer period is required for a legal claim, safeguarding issue or legal obligation.
If you become a client, relevant application and correspondence information may form part of your client record and be kept for the duration of the relationship and normally for up to six years afterwards for contractual, tax and legal-record purposes.
Roadmap-request records are normally kept for up to 12 months. If you consent to ongoing marketing emails, we keep the contact and consent record until you unsubscribe or after a reasonable period of inactivity, subject to any limited suppression record needed to respect your opt-out.
Technical and security logs are retained according to the operational schedules of the relevant service provider and only for as long as reasonably necessary.
8. Applicants under 18
The coaching application and consultation-deposit process are intended only for people aged 18 or over. A parent or guardian may contact us about a young person’s information using the email address above.
9. Cookies and similar technologies
The website and its providers may use strictly necessary or functional storage to deliver features, maintain security and support the application or chat experience. The application may also pass an existing HubSpot tracking identifier when one is available.
If you choose “Accept” in our cookie notice, we use the Meta Pixel and Meta Conversions API to measure visits, assessment starts, assessment completions, roadmap requests, completed applications and whether an applicant qualifies for a consultation, understand which advertisements are effective and build advertising audiences. Meta may place or read advertising cookies and receive the page visited, action completed, campaign attribution, browser or device information, IP address and securely hashed contact details used for matching. We do not send your assessment answers, calculated level, goals, obstacles, training history or other written application answers to Meta.
Meta advertising measurement is disabled unless you consent. You can decline optional advertising cookies and continue using the website normally. You can review or withdraw your choice from “Cookie Settings” in the website footer.
10. Security
We use reasonable technical and organisational measures intended to protect personal information, including encrypted connections and access-controlled service providers. No internet transmission or storage system can be guaranteed completely secure.
11. Your rights
Depending on the circumstances, UK data-protection law may give you the right to:
- ask for a copy of your personal information;
- correct inaccurate or incomplete information;
- request deletion or restriction of processing;
- object to processing based on legitimate interests;
- receive certain information in a portable format; and
- withdraw consent where processing relies on consent.
To exercise a right, email applications@caliculture.co.uk. We may need to verify your identity before acting on a request.
You may also complain to the UK Information Commissioner’s Office. Visit ico.org.uk/make-a-complaint. We would appreciate the opportunity to address your concern first.
12. Links to other websites
Our website may link to third-party websites and social platforms. Their own privacy notices govern how they process information, and we are not responsible for their practices.
13. Changes to this policy
We may update this policy when our services, providers or legal obligations change. The latest version will appear on this page with a revised “last updated” date.
